Cairngorm Group is committed to protecting and respecting your privacy. This document, along with our Terms and Conditions, explains how we process any personal data you give us when you contact us via our website, on the telephone or in person, or choose to take out a contract with us.
We process your data in order to write a contract with which to provide you with goods and/or services. For the purpose of the Data Protection Act 1988, the data controller is Inverness Glass Company Limited of Cairngorm Windows, Longman Drive, Inverness, Inverness Shire IV1 1SU.
Information we collect from you via our website, telephone enquiry, or personal enquiry
If you contact us via our website, we collect your name, address and contact information, details on the product or services you are interested in and whether you are a returning customer.
This information is used to allocate you to the very best sales representative for your needs, and to contact you to arrange an appointment.
We also ask how you heard about our services. Collected data is used within internal-only sales statistics but does not identify any one individual, and is never sent to external parties.
Electronic records of enquiries submitted via the ‘contact us’ page are held for one month, should you wish to follow up on your initial correspondence during this time.
We make a physical copy of any correspondence when you contact us. This is held by our office only and destroyed after 60 days if you decide you do not want to take out a contract. If you do want to take out a contract with us, we will add this correspondence to your file.
We also use Google Analytics features for our own market research purposes.
Information we collect from you when you take a contract with Cairngorm Group
If you decide to go ahead with our products or services, we will need to make a contract.
For any contract we make with you, we will need to take your name, address, contact information and details of a bank account from which you wish to pay for our products or services.
For our solar panel contracts, we will also need proof of identity, for example, a passport or driving license, and proof of address, such as a utility bill.
In instances where we conduct credit checks, this information will be added to your contract file.
We need this information from you in order to make a legally binding contract. Unfortunately, if you cannot provide these details, we are unable to make a contract and provide our goods or services.
At Cairngorm Group, we are confident in the quality of our products and services. For this reason, we guarantee our products and services up to ten years, as specified in your contract depending upon which product/service is provided.
In order to offer this guarantee, we need to keep the information you have given us and details on the products and services we provided for the lifetime of the guarantee.
The guarantee, subject to our consent, is transferable from the client who took out the contract with Cairngorm Group, to any purchaser of the property within the guarantee period. You can help us to keep this information accurate by providing us with updated details if anything changes, such as your name, address, or contact information.
Without this data, we are not able to honour the guarantee. Once the guarantee has expired, this information is destroyed.
How we use your data

- As a reference for which products and services you may be interested in if you contact us
- For internal-only statistical and marketing analysis
- Credit scoring and credit checking
- To create a contract and offer a guarantee on the goods and services we provide

In certain instances, it may be necessary for us to share the data you have provided. In general, we will only share your personal data with a third party:

- to enforce the Terms and Conditions of your contract.
- to prevent fraud and to promote credit risk control
- We may share data with our preferred Debt Collection Agents/Field Tracing Agents/Doorstop
Collection Agents, who have been appointed by our company, to recover any unpaid debt from
you and due to us. This is all based on our Legitimate Interests.
Please be assured however that we do not share your data for marketing purposes. Further information about when it is necessary to share your data is given below.
There may be instances where we need to conduct credit checks. This allows us to make informed credit decisions about our customers for the prevention of fraud and money laundering. Please note that credit reference and fraud prevention agencies will record our search.
We will share your personal data where it is necessary in order for us to fulfil our contractual obligations to you. The table below explains why we share your information, who we share your information with, what information we share, and which contracts this is applicable to. Further information on this is given in the Terms and Conditions of your contract.
How we protect your data
When you visit us online, your browser will open our website in ‘secure mode’ automatically. You will see a padlock icon on the left of the address bar at the top of your browser. This means that any information you send or receive from our website is private and can’t be seen by anyone else using the internet. The information you provide is encrypted by secure socket layer software (SSL). We have an SSL certificate for our website to show that our website is secured.
Please be aware however that while we do our best to secure your data we cannot completely guarantee the security of data transmitted via the internet.
We use a secure server and have internal technology and security measures in place to protect your information when it is received by us. In addition, only employees who need your information to do their jobs have access to it.
When we destroy your data
We destroy all personal information when the guarantee on the products or services provided expires.
For reference, we may keep electronic records of correspondence only, should you wish to contact us in the future with new enquiries about our products or services.
Your rights regarding your data
Access and transfer
You have the right to access the data we hold on you at any time, or to request that we send your data to an individual or group of your choosing.
To request this, please write to us or email us at the address below. We will need proof of your identity and address, and details on the information you require. It is especially helpful if you have details such as the job reference number, or the dates of any work was undertaken or products purchased.
We will fulfil your request within one month and will require a further two months for completion if your request is complex or numerous.
Correction of records
You have the right to correct any personal information which we hold. To do so, please write to us at the address below, or email us with the subject line ‘request for correction of personal data’.
Again if possible, please give any available details such as job reference number or dates.
